Track3D Progress AI in Procore

Track3D Progress AI: User Guide

Overview

Track3D Progress AI is an assistant in Datagrid that answers questions about your construction projects in plain English. It combines three sources:

Source

What it provides

Track3D

Actual progress from your site captures: projects, structures and levels, categories, stages, takeoff quantities, captures, designs, and stalled or slowed-down work

Procore – Track3D Schedules

Planned start and end dates for each stage

Procore – Track3D Manpower

Recorded crew sizes over time

It uses only the sources your question needs. A simple progress question uses Track3D alone. A schedule or manpower question combines Track3D progress with your Procore documents.

What You Can Ask

Progress

  • "How far along is Oakridge Heights Phase II?"

  • "Show progress for Mechanical on the First Floor."

  • "What got done in the last two weeks?"

  • "Which stages are above 50%?"

Schedule Health

  • "Are we on track?"

  • "Which stages are delayed?"

  • "What's behind schedule but not yet overdue?"

  • "What is due this week?"

  • "How were we tracking at the end of July?"

Risk

  • "What needs attention?"

  • "Which stages have stalled?"

  • "Which stages are slowing down?"

Manpower and Forecasts

  • "Is the current crew enough to finish Drywall on time?"

  • "How many more workers do we need on Level 3 Electrical?"

  • "At current manpower, when will Rough-in finish?"

  • "What if we add 5 workers?"

  • "Drywall is already late. How many workers do we need to finish by 30 Nov, 2026?"

  • "Can we move workers from Level 2 to Level 5?"

Project Information

  • "Which projects do I have access to?"

  • "What structures and levels does this project have, and when were they last captured?"

  • "Which designs are uploaded for each level?"

  • "What categories, stages and takeoff quantities are set up?"

You can ask follow-up questions such as "only Mechanical" or "just Zone A". The assistant keeps the same project, area and dates from earlier in the conversation.

Setting Up Your Procore Documents

Schedule and manpower answers depend on two sets of files in Procore → Documents. Without them, the assistant can still answer progress questions, but it will tell you it can't work out schedule status or manpower.

Schedule File

Location: Track3D Schedules

File name: Match the Track3D project name, for example Oakridge Heights Phase II.csv.

Columns:

Column

Meaning

scope

STRUCTURE for a structure-level row, ZONE for a zone-level row

id

Row identifier

structure

Structure or level name

zone

Zone name (zone rows only)

category

Work category, e.g. Fire Protection

stage

Stage within the category, e.g. Rough-in

startDate(MM/DD/YYYY)

Planned start

endDate(MM/DD/YYYY)

Planned finish

Manpower File

Location: Public Documents/Track3D Manpower

File name: Match the Track3D project name, for example Oakridge Heights Phase II.csv.

Columns: At minimum, a date and a worker count. Add structure, zone, category and stage columns if you want manpower matched to specific work. The more detail you record, the more precise the answers.

Naming Rules

  • Structure, zone, category and stage names must match the names in Track3D.

  • Capital letters and extra spaces don't matter, but different wording does: "Level 1" and "First Floor" won't match.

  • Keep one schedule file and one manpower file per project.

  • If the assistant finds more than one possible file, it will ask you which one to use.

How the Answers Are Worked Out

Progress

Progress % = completed quantity ÷ planned (takeoff) quantity × 100

If a stage has no planned quantity, its Progress % shows as —.

Schedule Status

Status

Meaning

Not Started

Before the planned start, and no progress yet

Started Early

Before the planned start, but work has begun

On Track

Progress is at or ahead of where the schedule says it should be

Behind Schedule

Still within the planned dates, but progress is below where it should be

Delayed

The planned finish date has passed and the work isn't complete

Completed

Completed quantity has reached the planned quantity

—

Can't be determined, usually because the stage has no planned quantity

"Where it should be" (Expected %) assumes work progresses evenly between the planned start and finish dates, counted in calendar days.

Variance = Actual % − Expected %.

For example, 35% actual against 55% expected is -20%.

Progress Alerts (from Track3D)

Alert

Meaning

Stalled

No progress in the most recent period. Completed stages are never marked stalled.

Slowed down

Less progress this period than the period before

Stalled is not the same as Delayed. A stage can be delayed but still moving, or stalled but still within its planned dates.

Manpower

  • Productivity: Quantity completed per worker per day, measured on your own project. It compares progress and crew size over the same recent period, normally the last 7 days.

  • Required manpower: Remaining quantity ÷ (days left × productivity), rounded up to whole workers.

  • Forecast finish: When the work will finish at the current crew size and productivity.

  • Forecast Delay: The planned finish hasn't passed yet, but at the current pace the work will finish late.

  • High manpower increase: Flagged when the required crew is more than twice the current crew. Productivity doesn't always keep up when a crew grows that much (space, sequencing, materials and supervision all limit it).

All manpower figures are estimates based on recent performance.

Reading the Answers

Answers come as tables, followed by a short summary of what matters most (for example, how many stages are delayed, the largest shortfall against schedule, or where extra crew is needed).

What You'll See

Indicator

Meaning

🟢 🟡 🔴 next to Progress %

70% or more · 40–69% · below 40%

—

The value isn't available or can't be worked out reliably. A short explanation usually follows.

+12% / -18% in Variance

Ahead of (+) or behind (−) where the schedule says the work should be

+3 in Additional Manpower

Workers needed on top of the current crew. 0 means the current crew is enough.

25 ft²/person/day

Productivity: quantity completed per worker per day

High manpower increase

The required crew is more than twice the current crew. Treat this figure as a rough starting estimate.

Days Late

Calendar days since the planned finish date

Dates are shown as 06 Jan, 2026.

Quantities of 100 or more are shown as whole numbers, and smaller quantities to at most 2 decimal places, with the unit (ft, ft², cy, count).

Crew sizes are always whole people, rounded up.

Sources

The assistant tells you which source each part of an answer came from. Schedule dates are labelled as coming from the Procore project schedule and crew sizes from Procore Track3D Manpower. Neither is ever presented as Track3D data.

Raw Files

It doesn't paste your raw schedule or manpower files into the answer unless you ask for them.

What the Assistant Won't Do

  • Make up data. It doesn't invent dates, quantities, crew sizes, productivity or recovery dates. If something is missing, it says so and shows what it does know.

  • Recommend a crew size without evidence. It only calculates productivity, and from that the crew needed, when progress and manpower records cover the same period. If they don't, it shows what it knows and leaves Required Manpower as —.

  • Spread crew numbers it can't place. If manpower is recorded only for a whole category or structure, it won't divide it evenly across stages.

  • Use another project's files. It only uses the schedule and manpower files for the project you're asking about.

  • Promise "on time" after a deadline has passed. For work that is already late, it reports it as Delayed. Give it a new target date and it will work out the crew needed to meet that date.

  • Change anything. It only reads data. It can't edit progress, schedules or manpower in Track3D or Procore.

  • Show data you can't access. It only sees the Track3D projects your account can see.

Troubleshooting

What You See

What to Check

"No corresponding Procore schedule was found"

The schedule file is in Track3D Schedules and named after the Track3D project.

"Manpower-based analysis cannot be completed"

The manpower file is in Public Documents/Track3D Manpower and named after the project.

"X scheduled stages could not be matched"

Structure, category and stage names in your schedule file match Track3D exactly.

Progress % or status shows —

The stage has a planned (takeoff) quantity in Track3D.

"Productivity cannot be calculated"

The manpower file has dated records covering a period when progress was also recorded.

The assistant asks which project you mean

Use the project's full name, or pick from the options it offers.

A project is missing

Ask your Track3D project administrator to give you access.
